Wedding venue essentials

THERE'S a lot to think about when you are booking a venue for a wedding or wedding reception.

Here are a few things to bear in mind when you are looking for a venue.

  • What is included in the wedding package?
  • What are the capacities: for the ceremony? Sit down meal? Reception - day and evening?
  • Are there any floor plans to take away?
  • Where would each part of the day--welcome drinks, disco, etc-- take place?
  • Is all catering done on site or do they allow outside caterers?
  • Is there a list of recommended suppliers or can you choose any?
  • Is live music allowed and is there an extra charge? Are there any noise restrictions?
  • What time will the celebrations have to end?
  • Will there be any other functions / weddings on at the same time?
  • Do guests using hotel accommodation get a discount?
  • Do they allow corkage?
  • How many options will there be on the menu?
  • Are there any seasonal packages?
  • Are there any restrictions on where guests can go? (sometimes an issue at stately homes)
  • How much parking is there?
  • Does the hotel only allow select suppliers?
  • How much is the deposit?
  • Are candles / confetti allowed?
  • Ask to see samples of silverware, chairs, linen etc.
  • Ask for a copy of the contract so you can thoroughly read through the terms and conditions.
  • Is there a cleaning fee?
  • Are there any overtime charges?
  • Will a representative be on site throughout the day for help and assistance?
  • Is the site insured? Will any additional insurance be needed?
  • Are there any additional fees?
  • If it's an outdoor ceremony, is there a rain contingency plan?
  • Ask if you can take a few photos of the venue so you can compare as you go along.

Most of these questions will be answered in a venue’s wedding brochure but it helps to ask the co-ordinator face-to-face.
